Sound familiar?

Property management books go wrong in the same five places.

Buildium does a lot automatically. It can't tell you when a deposit was applied to the wrong ledger, a reversed payment left an owner negative, or the trust account stopped agreeing with the ledgers three months ago.

We check all of it, every month, before your owners see a statement.

"The trust account hasn't matched the ledgers since spring."Three-way reconciliation
"Owners are calling about statements before I've checked them."Owner statements
"I don't know which deposits we're actually holding."Security deposits
"Undeposited funds just keeps growing."Bank deposits
"It's December and nobody has looked at 1099s."Year-end
What we do every month

Everything a property management bookkeeper should do in Buildium, on a fixed date.

Trust and operating reconciliations

Every bank account reconciled in Buildium to its statement, and the trust account reconciled three ways against owner and tenant ledgers.

Owner statements, checked

Income, expenses, fees and reserves reviewed for every owner before statements are released on your date. Anything odd comes to you first.

Security deposits and prepaid rent

Deposit liabilities tied to tenant ledgers and to the cash that should be holding them, so move-outs never come as a surprise.

Management and late fees

Management fees, leasing fees and late fees checked against your agreements, so you're paid what you're owed and owners aren't overcharged.

Vendor bills and 1099s

Bills entered and coded to the right property, vendor tax details collected through the year, and owner and vendor 1099s prepared each January.

Delinquency and portfolio reporting

Aged receivables with notes, a portfolio view by property and owner, and a five-line summary of what changed this month.

Trust accounting

What is three-way reconciliation, and why does it matter?

If you hold rent and deposits for owners and tenants, that money isn't yours. Three-way reconciliation proves, every month, that every dollar is where your records say it is.

Many US states require property managers and brokers to reconcile trust accounts on a set schedule and keep the reports for inspection. Your state's real estate commission sets the exact rules; we keep the monthly reports your broker of record needs.

The three numbers that must agree
1. Bank statement$184,920.55
2. Buildium register$184,920.55
3. Sum of ledgers$184,920.55

1 = 2 = 3 → difference $0.00

When they don't agree, the cause is usually a deposit applied to the wrong ledger, a bank fee posted to trust, an owner draw paid twice, or a reversed payment that left an owner negative. We find it, fix it, and write down what happened.
